Custom internal tool
development

Replace the spreadsheet, the approval emails and the weekly report with one tool your team logs into. From $5,000 fixed, priced line by line, with the core live in 30 days or less.

What a custom internal tool costs and includes

A custom internal tool at minidev.pro starts at $5,000 fixed, the same as our base MVP: the Internal tool type adds nothing to the price. That covers one workflow, such as an approval, a report or a document intake, with logins, a database, a basic admin view and deployment, live in 30 days or less. Roles, dashboards, document processing, compliance controls and connections to your existing systems are priced add-ons; the example tools below come to $8,500 to $12,000. Whether it pays comes down to one sum: hours saved per month times the cost of those hours, against the fixed price.

What you get

One workflow, end to end

The process that costs the most hours today, rebuilt as screens and rules: a request, an approval, a report or a document intake.

One database, not ten spreadsheets

A PostgreSQL database replaces the copies of the same sheet passed around by email, with logins for your team.

Admin view and deployment

A basic admin view, production deployment and 30 days of post-launch bug fixes and small changes.

Code you own

Once the final payment is made, all custom code is yours, with full source and documentation. You talk directly to the senior developers building it.

Price, line by line

The core is $5,000. Each add-on has a fixed price and build days from our published price list.

Example builds

Four common jobs, each priced from the list and linked to the calculator with the same options.

Email approvals → approval workflow

Requests come in through a form, go to the right approver with reminders, and reach your accounting system and Slack once approved. $5,000 + $1,500 roles + $500 email + $1,500 for two integrations = $8,500.

Calculator: $8,500 to $9,500, 35 to 40 days. Open in the calculator →

Re-typing documents → document intake

Uploaded documents are read into records, anything the tool cannot read cleanly goes to a person to check, and a dashboard shows the backlog. $5,000 + $1,000 files + $1,500 roles + $1,500 dashboard = $9,000. Messy scans and borderless tables are scoped on a call.

Calculator: $9,000 to $10,000, 35 to 40 days. Open in the calculator →

Monday report → live dashboard

Numbers from your CRM and accounting system in one dashboard with exports, and roles for who sees what. $5,000 + $1,500 roles + $1,500 dashboard + $1,500 for two integrations = $9,500.

Calculator: $9,500 to $11,000, about 40 days. Open in the calculator →

Shared drive → regulated records

Records with an audit trail, retention rules, file evidence, roles and reporting. $5,000 + $1,500 roles + $3,000 compliance + $1,000 files + $1,500 dashboard = $12,000.

Calculator: $12,000 to $14,000, 45 to 50 days. Open in the calculator →

Why a range? The calculator rounds the list total to the nearest $500 and allows up to 30% more on add-ons for details we only learn on a call, which then sets one fixed price. Payment is 50% upfront and 50% on delivery.

How to work out payback

Monthly saving = hours saved per month × loaded hourly cost − monthly running costs

Payback in months = fixed price ÷ monthly saving

Loaded hourly cost means pay plus benefits per hour actually worked. For reference, the US Bureau of Labor Statistics put employer costs for private industry workers at $46.89 per hour worked in June 2026: $32.82 in wages and salaries and $14.07 in benefits. Use your own payroll numbers if you have them.

Worked exampleWorkingResult
Time spent today3 people × 6 hours a week × 52 weeks ÷ 12 months78 hours a month
Time saved (assumed)60 of the 78 hours; checks and decisions stay with people60 hours a month
Value of time saved60 × $46.89$2,813.40 a month
Running costsSupabase Pro (from $25) + one Vercel Pro seat ($20)$45 a month
Monthly saving$2,813.40 − $45$2,768.40
PriceThe reporting dashboard above, at the top of its calculator range$11,000
Payback$11,000 ÷ $2,768.403.97 months

This is an example with stated assumptions, not a promise. If the tool saved 20 hours a month instead of 60, the saving would be (20 × $46.89) − $45 = $892.80 a month and payback about 12 months ($11,000 ÷ $892.80 = 12.3). Hosting is in the sum because Vercel's Hobby plan is for personal, non-commercial use and Supabase pauses free projects after a week of inactivity.

Doing nothing wins below a certain size. If a process takes 6 hours a month, removing all of it saves (6 × $46.89) − $45 = $236.34 a month, so even the $5,000 core takes about 21 months to pay back ($5,000 ÷ $236.34 = 21.2). Below roughly 20 hours a month, a better spreadsheet or a no-code tool is usually the right answer.

Custom build vs Retool vs doing nothing

Retool is a platform your own team uses to build internal tools, priced per builder and per user each month. Its published plans, billed annually:

Retool planPer builder, a monthPer internal user, a monthNotes
Free$0$0Up to 5 users
Team$10$5Staging and production; no audit logs, rich permissions or SSO
Business$50$15Adds audit logs, rich permissions and external users
EnterpriseCustomCustomAdds self-hosting, Git source control and SSO

Over three years for 2 builders and 20 internal users, Retool Team is (2 × $10) + (20 × $5) = $120 a month, or $4,320, and Business is (2 × $50) + (20 × $15) = $400 a month, or $14,400. Both are before the time of whoever builds and maintains the tool. Our reporting dashboard at the top of its range is $11,000 + (36 × $45 hosting) = $12,620, before changes after the 30 days of support.

Our honest read: if someone on your team can build it and the Team plan covers what you need, Retool will usually cost less. A custom build makes sense when the logic is the product (a policy engine, a pricing rule, a document check), when customers or suppliers need to log in, or when you want to own the code. Internal tools we have built

Corporate travel platform

A travel policy PDF and a bookings inbox became a policy engine: each request evaluates to allow, allow with exception or block, with a reason code for exceptions. Approvals route by cost center and amount, with deputies, and reports show which rules fired and which were overridden.

SI Report Analyser

For a UK geoenvironmental practice: contamination results from four UK lab PDF formats where table parsers failed, checked by a second, independent parser. 148 of 148 hand-verified test cells correct; when it cannot certify a value, it does not output one.

CQC-Guard

For a care provider moving off a shared drive: self-assessment against the CQC quality statements, predicted ratings labeled as internal with their reasons, action plans and three user roles.

Impact Tracker

For a community interest company: quarter-end copy-paste into a funder's import sheet replaced by pathways recorded in the tool, with the sheet produced as a validated export.

Rules, approvals and audit trails like these are also the core of our compliance software work.

How the build runs

Week 1: Map the process

We walk through today's spreadsheet, emails and report, agree a Must / Later / Never scope and the rules, get access to the systems we connect to, and deploy a skeleton.

Week 2: Data and the core workflow

The database, the main workflow and the screens your team will use, on a staging site with sample data.

Week 3: Roles, connections, reports

Permissions, integrations, notifications and the dashboard, as scoped.

Week 4: Test and launch

Your team runs real cases through it, we fix what they find, then launch and hand over.

Add-ons add days: the approval example is 35 to 40 days in the calculator, the regulated records example 45 to 50. Keep the old process running for the first week or two. If we miss the agreed date without a scope change on your side, you get a full refund of fees paid plus $2,000.

When we are not the right choice

The process is small

Under about 20 hours a month, the payback sum rarely works. Improve the spreadsheet or use a no-code tool.

You have a Retool builder

If the tool is standard screens over your own data and someone on your team can build it, Retool or a similar platform is usually cheaper and faster to change.

You need a product, not a tool

For accounting, payroll or a CRM, buy the established product and build only the gap around it.

Enterprise-wide programs

Enterprise RFPs that need 50+ engineers, or months of procurement before work starts, are not a fit.

Questions operators ask about internal tools

How much does a custom internal tool cost?

At minidev.pro a custom internal tool starts at $5,000 fixed for one workflow with logins, a database, an admin view and deployment. Add-ons are priced per feature: teams and roles $1,500, an analytics dashboard $1,500, file processing $1,000, compliance controls $3,000 and $750 per integration. The approval, document, reporting and regulated-records examples on this page come to $8,500 to $12,000.

How long does it take to build an internal tool?

30 days or less for the core tool, and the date goes in the agreement. Each add-on adds a set number of build days: in our calculator the example approval tool takes 35 to 40 days, the reporting dashboard about 40 days and the regulated records system 45 to 50 days. Connections to older systems take longer when their APIs are poorly documented.

Is Retool cheaper than building a custom internal tool?

Often, yes, if someone on your team can build it. Retool's Team plan is $10 per builder and $5 per internal user a month, billed annually, so 2 builders and 20 users cost $120 a month. Audit logs and rich permissions need the Business plan at $50 per builder and $15 per user. A custom build costs more upfront but has no per-user license fees.

How do I calculate the ROI of an internal tool?

Multiply the hours the tool saves each month by the loaded cost of an hour, subtract running costs, then divide the fixed price by the result to get payback in months. For example, 60 hours saved at $46.89 an hour, the June 2026 US private industry average from the BLS, minus $45 of hosting is $2,768.40 a month, so an $11,000 build pays back in just under 4 months.

Can a custom internal tool connect to our existing software?

Yes, if the software has an API or a reliable export. Each integration is $750 and about one build day on our price list, for example your accounting system, CRM or Slack. Well documented APIs are quick; older systems with unusual authentication or rate limits take longer, so we look at them before the price is fixed.

Who owns the code for a custom internal tool?

You do. Once the final payment is made, all custom code and deliverables are yours, with full source code and documentation, while open source components stay under their own licenses. The tool runs on a standard stack of Next.js, Node.js and PostgreSQL, so you can move the hosting or hand the code to another developer later.
